How to receive email notification if the Vault Job Processor is offline or backed up

June 30, 2024 Bob Felton

Issue:

When the Vault Job Processor is used to produce DWF visualization files or PDF files for reference in the Thin Client or elsewhere, delays are caused if the Job Processor is not logged in, or has stalled. It would be useful to receive an email notification for when the Job Processor is offline and has pending jobs or job errors.

Causes:

Unexpected job errors or licensing issues can keep the Job Processor from finishing the needed jobs. Delays caused by this may not be noticed immediately until the need for the files becomes critical.

Solution:

Within the IMAGINiT Vault Server Utilities, is a Job Manager Config utility that is installed on the Vault Server host if you have a standalone license or another server or workstation if you have a network license.

Once installed, you can locate this utility from here:

C:\ProgramData\Microsoft\Windows\Start Menu\Programs\IMAGINiT Technologies\IMAGINiT Utilities for Vault Server\Job Manager Config

...or from the Start menu under IMAGINiT Utilities.

On the first of the four tabs, 'System Health' sets the email or several emails separated with a comma that are to receive the notification when the Job Processor is not running for the period of time that you select.

On the 'Monitor Jobs' tab, choose the option to send an email notification when the jobs are backed up in the Job Queue for the number of minutes you choose. You can also select the option to send an error status summary daily.

On the 'Vault Settings' tab select the host for the Vault Server and login credentials for the Vault Administrator or your Admin group member account and the name of the vault.

On the Email Settings tab enter your corporate or private email server name and sign-in credentials and send a test email to ensure it works. If any problems occur with the send test that cannot be easily resolved, try the 'Use IMAGINiT Mail Services' option to send the email notification to our SMTP Relay server back to your inbound Outlook mailbox.

Examples of the email report for errors in the Job Queue and also for a backed-up queue might look like this, for one or more Job Processors on the network:

From the Help documentation:

"NOTE: you will receive no more than one e-mail on any one topic per day, just to not overwhelm you."

For more details about the Job Manager Config utility, see that topic heading in the Documentation help file located here, on the server:

C:\ProgramData\Microsoft\Windows\Start Menu\Programs\IMAGINiT Technologies\IMAGINiT Utilities for Vault Server\Documentation

Tip: To quickly find the Server Utilities, make a shortcut to the desktop for the folder at:

C:\ProgramData\Microsoft\Windows\Start Menu\Programs\IMAGINiT Technologies\IMAGINiT Utilities for Vault Server\

Also, to quickly locate that folder, search for 'Job Manager' and then select 'Open file location'.

Note: Unlike the IMAGINiT Vault Client Utilities which are complimentary with Autodesk subscriptions with IMAGINiT, the IMAGINiT Vault Server Utilities are an additional purchase. Please contact your IMAGINiT Account Manager for pricing.
